Subject: WebPoint, SignUpToPlay.com, AdvancedEventSystems.com Info

I wanted to drop you a quick note to clear up any confusion with our multiple computer systems and their intended purpose:

1. WebPoint (Accessed through the Florida Region website: www.usavFL.org) - This is the official registration system for USA Volleyball/Florida Region and all USAV members must register with this system. This system registers members and conducts background screening on all adults affiliated with our junior program. This is also the official system for managing team rosters since restrictions are built into the system to prevent non-background screened coaches from being placed on a junior roster. ALL TEAMS are required to have team rosters in this system!

2. SignUpToPlay.com - This is a secondary event management system used by private clubs to run their tournaments. Rosters in this system are not official since they do not cross reference the information in WebPoint. This system is also being used now to track results and assist with tournament seeding. ALL TEAMS that want their tournament results to be considered should enter them in SignUpToPlay.com within 5 days after competing in a USAV event. (Please do not enter AAU results in this system!)

3. AdvancedEventSystems.com - This system is only used to enter National events and is managed by the USA Volleyball national office. Your team rosters must be entered in this system if you intend to compete in a national event.

While I know this is a bit cumbersome, we are hopeful that everything will be rolled into one system in the near future. We are signed up as a test Region for the event management module in WebPoint and hope to begin work on that after our National Meetings in May 2008 in preparation for the 2009 season. Once the event module is completed then everything will be able to be managed inside of WebPoint...or at least that is the plan.

We feel your frustration and ask that you please call us at the Region office if you need additional clarification on any of the systems listed above.

Subject: D&O Insurance Info

USA Volleyball has changed D&O (Directors & Officers) insurance vendors.  D&O insurance is a great idea for non-profits with board members that volunteer their time and participate in any decisions regarding the club.  The insurance provides a blanket of protection for the board members while they are serving on behalf of the club.  The link to purchase/renew your D&O insurance is HERE.

IMPORTANT NOTE: The meeting is mandatory for Club Directors. If you are unable to attend, you must send a knowledgeable representative since they will vote on various issues that will impact your club during the upcoming season. Failure to attend will result in a $500 sanction that you will need to pay proir to participating in any USAV sanctioned events.

Subject: Junior Club Tryout Info

This update is related to Junior Club Tryouts. Please make sure you sanction your club tryouts with our office or with AAU immediately. To sanction your tryout with the Florida Region you can visit our Region website (www.usavFL.org) and click on the Sep 6 link (on the Home Page) for the Online Event Sanction Form. Reminder...there is no charge for Junior Club Tryouts and the process is very simple. If you choose to sanction your event with AAU, please make sure you have an insurance certificate from AAU Volleyball for the facilities you plan to use. NOTE: A USAV insurance certificate will only cover USAV members in an approved USAV facility.

Finally, to clear up a frequently asked question...junior club tryouts can take place using the following guidelines:
10u-14u ages can tryout anytime
15u-18u ages can tryout starting on Nov 18

Please make sure your coaches are background screened before they have contact with your players.
 


Subject: IMPACT Training Requirements

ALL coaches must be IMPACT certified (at a minimum) before they can coach a USAV team.  IMPACT coaching clinics will be offered in each District between Dec 07 & Feb 08.  Check the Education page of the Florida Region website for more information and to sign up online.  IMPACT clinics are FREE for USAV members.

 


Subject: Background Screen Requirements

ALL adults involved with a junior program MUST complete a USA Volleyball background screen prior to any interaction or involvement with junior players.  Background screens are valid for a two year period and cost $16 per person.  The $16 price is a pass through and is not marked up by the Florida Region.  If a member already has a current background screen, the online registration system will not prompt them to complete this requirement.  If a background screen is required, the system will place a link to the background screen authorization form on the member's registration page.  This form must be printed, signed, and faxed to the Region Office (352-742-2479) before the background screen can be submitted electronically to the background screen vendor.

Subject: Online Registration Update

Early registration will begin today, Oct 1, 2007.  Please note that the official membership season starts on Nov 1, 2007 and ends on Oct 31, 2008...however, we are encouraging all Club Directors and Club Admins to register prior to Nov 1st to maintain their Club Administrative rights.

 

This season we are proud to announce two new developments for the online registration system:

1.  Online signatures - Junior & Adult players can now sign their waivers online and reduce the amount of paperwork that is required to become a member of the Florida Region.  Junior players will require a parent or guardian to also sign before their membership will be processed.  All adults will have to validate their online signature by entering their driver license number.  Please note that your personal information is safeguarded by USA Volleyball and it is not given out to anyone.

2.  Online payment - Members can pay for their membership online with either VISA or MasterCard.  You will be prompted during your registration session to select a payment method.  If you choose to pay online, the membership card will be activated upon the conclusion of your registration session and the member will be able to print the card prior to concluding their session.

 

IMPORTANT NOTE:  Junior players must register themselves along with a parent or legal guardian due to the legal requirement to waive their rights.  Non-family members (Club Directors, Coaches, Club Admins, etc.) CANNOT register a junior player since they cannot legally waive a player's rights.
